“Transport is arranged” sounds reassuring but leaves every useful question unanswered. A guest still needs to know which vehicle is theirs, whether it returns after the function and what happens if they miss it. Put the complete instruction beside the event it serves, where it can be checked while someone is getting ready.
What should every wedding shuttle message include?
Write down six facts before drafting: the function, pickup point, assembly time, departure time, seat-confirmation method and day-of contact. Add the return plan if the same transport brings guests back.
Use the venue name as well as a physical meeting point. “Hotel lobby” may cover three entrances; “inside the main lobby, beside the concierge desk” gives the group one place to gather. Keep the assembly and departure times visibly different. If the bus leaves at 5:30 pm, asking guests to assemble at 5:15 pm is clearer than calling both times “pickup.”
Do not promise that a vehicle will wait unless the transport coordinator has agreed. One accurate sentence is kinder than a flexible-sounding instruction that delays everyone.

Replace “after the function” with a real time whenever possible. If the departure depends on the programme, name the moment guests can recognise, such as “20 minutes after the final performance,” and have the coordinator confirm it on the day.
How should transport wording change across several functions?
Create one transport block per function. A Mehendi at a family home may need a small pickup vehicle, while a reception at another venue may use two coaches and a different hotel entrance. Combining both into one paragraph invites guests to apply Friday’s meeting point to Saturday.

What should you check before guests travel?
Ask someone who did not arrange the vehicle to follow the instruction. They should be able to identify the correct function, stand in one precise place, arrive before departure and know whom to call without asking the couple.
Then compare the transport note with the event’s current venue and timing. Check the date, hotel branch, entrance, time format and contact number. Open two contrasting guest views if invited lists differ, and confirm that each person sees only the transport information for their functions.
Finally, update the wedding website before sending a correction through WhatsApp, SMS or email. The alert can be brief when the link holds the complete current instruction. Remove the old pickup point rather than leaving both versions on the page; on a travel day, one clear route is the useful route.
